INSTRUCTIONS FROM CLIENT:- To value the wet & dry stock, glassware, read the meters & act on their behalf whilst working with the Vendor’s stock taker in the purchase of a Freehouse.

 ACTION TAKEN:- Prior to the purchase a discussion took place with the Client establishing exactly what items they wished to purchase & advise accordingly. On the day of purchase ‘The Best Practice Guidelines’ as laid down by the Institute of Licensed Stock Auditors were followed, which included random testing of liqueurs, looking at invoicing information, reading meters & representing the Client’s interests in discussions with the Vendor’s stock taker. Once again a detailed, itemised valuation was produced which facilitated the purchase of the business.

Case Study - Year Ends

INSTRUCTIONS FROM CLIENT:- To provide Client’s Accountant with Year End Valuation of Wet & Dry Stock & to provide Client with Yearly Barrelage report.

 ACTION TAKEN:- Both wet & dry stock were counted & any changes to product costs were updated. A detailed, itemised valuation was produced after the close of business at the end of the financial year. This enabled both the Client & his Accountant to make meaningful accounts with accurate figures. It provided the Client with accurate & on-going valuations of stock which were useful for insurance polices & for formation of future trading policy. In addition, the Barrelage report was an extremely useful tool for negotiating barrelage discount & possible Advance Barrelage Discount as well.

Case Study - Dry Stock Takes

INSTRUCTIONS FROM CLIENT:- To provide an independent regular food stock audit to establish the Gross Profit Margin on food & to discuss ways of increasing overall profitability.

 ACTION TAKEN:- On the day of audit the food stock was counted with the chef. Information was taken from delivery notes & invoices, income figures & allowances noted. A single page computer report was produced detailing the following:-

  • Value of Opening Stock
  • Value of Closing Stock
  • Consumption
  • Takings
  • Gross Profit Margin

RECOMMENDATIONS:- Discussion with Client about ways to increase profitability including, looking at new suppliers, reducing purchasing costs, pricing of meals, menu size, portion control etc.

Case Study - Liquor Stock Takes

INSTRUCTIONS FROM CLIENT:- To provide an independent monthly liquor stock audit to ascertain overall performance of the business with a view to identifying any problem areas & look at ways to improve overall profitability of the business.

ACTION TAKEN:- On the day of the audit all liquor stock was counted; paperwork including delivery notes, invoices, wastage sheets, income reports & the Z2 till report were seen & information taken from them. This information generated computerised reports including a detailed report by product which gave the following information:-

  • Product
  • Size
  • Cost price per product
  • Opening & Closing stock levels per product
  • Sales at cost & at retail per product
  • GP per product

A summary report was generated which included the following information:-

  • Estimated result & estimated GP
  • Actual result & actual GP
  • Surplus/deficit & actual GP
  • Yield

A deficit of £1150 was shown as the Actual Deficit & after doing a till reconciliation with the Client’s Z2 till report figures against the computer generated reports. This cross referencing of information produced by the Client with the stock taker’s reports allows existing Client information to be used in a more meaningful manner. The deficit was shown to be mainly down to draught beer sales, in particular against two products & also a shortfall against Vodka sales.

RECOMMENDATIONS:– Discussion with Client as regards the draught deficit about cellar management, excessive fobbing of beers, staff drinks, whether kegs/casks have been lent out etc. As regards the deficit on vodka sales, was a bottle lent out, dropped & not recorded, cellar security, ‘free’ drinks or till security in general etc.
